Getting Started

Set up your first policy in 5 minutes

  1. Create a new policy from the Policy Management dashboard
  2. Write your policy or use a template
  3. Select employees who need to acknowledge
  4. Click "Distribute" to send
  5. Monitor compliance in real-time on your dashboard

Inviting Your Team

You can add employees individually or bulk import from your HR system.

  1. Go to Settings > Employee Management
  2. Click "[+ Add Employees]" or "[Import from HR System]"
  3. Enter employee info or connect your HR platform
  4. Employees receive email invitations to acknowledge policies

Supported HR Platforms: ADP, Workday, Bamboo HR, and others via API

Understanding Compliance Status

Acknowledged: Employee has read and accepted the policy.
Pending: Policy sent but employee hasn't responded yet.
Overdue: Acknowledgment deadline has passed. Employee still hasn't acknowledged.
Archived: Policy is no longer active. Past acknowledgments are preserved.

Creating a Policy

Policies are the core of PolicyFlow. Each policy can target different employee groups and track acknowledgments separately.

  • Policy Name: A clear, descriptive title (e.g., "Return-to-Office Policy June 2026")
  • Content: The full policy text
  • Target Audience: All employees, specific departments, locations, or custom groups
  • Deadline: Optional acknowledgment deadline

How long does it take for employees to see a policy after distribution? +
Policies appear instantly in employee dashboards. Email invitations are sent immediately (or on a schedule you set). Employees typically see and acknowledge policies within 1–3 business days.
What happens if an employee doesn't acknowledge by the deadline? +
You can send automated reminders. After the deadline, the employee appears in your non-compliance report. You can mark acknowledgments as complete manually if needed (e.g., if they acknowledged verbally). All actions are logged for audit purposes.
Can employees withdraw or dispute their acknowledgment? +
Acknowledgments are locked once submitted to maintain audit integrity. However, policy administrators can contact support to discuss specific situations. All edits are logged in the audit trail for transparency and compliance.
How is employee data protected? +
All data is encrypted in transit and at rest. We comply with GDPR, CCPA, SOC 2, and other standards. Your data is never shared with third parties. We conduct regular security audits and maintain a 99.9% uptime SLA.
Can I integrate with my HRIS or single sign-on? +

What if I need to update a policy that's already been distributed? +
Create a new version of the policy and redistribute. The old version is archived, and all acknowledgments are preserved. This helps maintain audit trails and demonstrates your compliance evolution over time.
How do I generate a compliance report for audits? +
Go to Reports & Analytics > Detailed Reports. Select "Audit Trail Report" or "Policy Compliance Report" and download as PDF. This includes timestamps, employee information, and legal signatures for audit readiness.
